Salary Certificate Format Nepal: English & Nepali Samples

Quick answer

A salary certificate is a signed, stamped letter on company letterhead confirming an employee's job, joining date and salary. Nepal has no fixed government format; use the English or Nepali template here or the free generator, then have HR sign it.

  • Include letterhead, employee details, salary, purpose, signature and stamp.
  • Copy-paste English and Nepali (तलब प्रमाणपत्र) samples are provided.
  • Generator PDFs are valid only once the employer signs and stamps them.

A salary certificate is a letter from your employer, on company letterhead, signed and stamped. It confirms that you work there, your designation, how long you have worked there and how much you are paid. In Nepal, banks, embassies and landlords usually ask for one. Below are copy-paste English and Nepali salary certificate formats. You can also create a signed-ready PDF in about two minutes with the free salary certificate generator.

What is a salary certificate?

A salary certificate (Nepali: तलब प्रमाणपत्र / तलब प्रमाणित पत्र) is a one-time document your employer issues on request. It is different from a monthly payslip. It is used as proof of income and employment for:

  • Bank loans, home loans and credit cards
  • Visa and student-visa sponsorship (for example, a parent's salary certificate for a child studying abroad)
  • House rental agreements and other financial verification
  • Background checks when you change jobs

There is no government-prescribed format in Nepal. Any clear letter on company letterhead with the details below, signed by an authorised person and carrying the company stamp, is generally accepted. Some banks and embassies have their own format, so check theirs first.

Salary certificate format: what to include

ComponentWhat to write
Company letterheadCompany name, address, PAN, phone and email
Reference no. and dateYour internal letter number and date of issue (BS and/or AD)
Addressee"To Whom It May Concern" or the bank or embassy name
Employee detailsFull name, designation, department, employee ID
Employment detailsJoining date and type of employment (permanent, contract)
Salary detailsMonthly gross salary; for the detailed version, basic salary, allowances, deductions (SSF/PF, tax) and net salary
Purpose (optional)"Issued on request for bank loan" or "for visa purposes"
AuthorisationName, designation and signature of HR or an authorised signatory, plus the company stamp

Brief vs detailed format. A brief salary certificate states only the gross monthly or annual salary. A detailed one breaks salary into basic, allowances, deductions and net pay, which banks often prefer for loan assessment. The generator lets you pick either.

How to get a salary certificate online

  1. Ask HR in writing (email is fine). Mention the purpose (bank, embassy) and whether they want a brief or detailed format.
  2. HR prepares it, either in Word on letterhead or with the free salary certificate generator, which has brief and detailed formats and PDF download.
  3. Check the figures against your latest payslip. Banks cross-check gross pay, SSF deductions and net pay.
  4. Get it signed and stamped by an authorised signatory. A generator PDF is only a draft until the employer signs and stamps it.
  5. Scan or collect the original. Embassies usually want the original or a notarised copy.

Important: A salary certificate is only valid when your employer issues it. Using a generator does not replace the employer's signature and stamp. Never create a certificate for an employer that has not approved it.
